All officers must be matriculated, currently enrolled students at San Jose State University.


SHRM at SJSU 2018 OFFICER JOB DESCRIPTIONS

Chapter President

  • Maintain and develop organizational culture, values, diversity and reputation within the student organization, university, faculty and staff, National SHRM and NCHRA

  • Generate and update the chapter mission statement and annual goals/objectives

  • Prepare succession planning each semester by facilitating the overall process of interviewing and selecting new Officers with the Executive Vice President

  • Updates/creates onboarding documents and trains all officers with assistance of the Executive Vice President

  • Ensure SHRM at SJSU operates smoothly as the Program Manager- evaluates, advises, plans, organize workshops and events with all officers

  • Lead and coordinate all officer meetings throughout the semester

  • Work with VP of Finance to maintain funds and budgets by providing timely and accurate analysis of budgets

  • Arrange and organize the HRM department Banquet and SHRM Case Competition

  • Set budgets with the VP of Finance for all monetary needs, establish and maintain relationships with sponsorship’s & donors

  • Complete the Merit Workbook (as part of the Executive Board)

  • Book classrooms for meetings, events and rush week tabling for the next semester

Requirements:

  • San Jose State University currently enrolled student

  • Experience as a previous SHRM at SJSU Vice President Officer

  • Must maintain at least a 2.00 GPA (both term and cumulative), taking at least 6.0 units as an undergraduate student OR 3.0 units as a credential/graduate student and have a maximum of 150 semester units

  • Complete the Alcohol Awareness and Sexual Harassment seminar in the Fall semester

  • Strong leadership, teamwork, communication proficiency, project management, problem solving skills

  • Active SHRM at SJSU Member


Executive Vice President

  • Acting as stand-in President if current President is unable to serve

  • Assist the President of the chapter mission statement, annual goals/objectives, and on-boarding of all officers

  • Primary contact between NCHRA and the SHRM Chapter

  • Coordinates the Buddy Program- matching officers to their respective SHRM at SJSU member buddies based on shared interests and career goals, as well as coordinates Buddy social events

  • Assist with the President, VP of Careers, and VP of Events to identify potential developmental workshops and member events

  • Arrange and organize the HRM Department Banquet and SHRM Case Competition with the President

  • Complete the Merit Workbook (as part of the Executive Board).

  • Oversee, assisting, and mentoring other officers in their duties as needed  

  • Book classrooms for meetings and rush week tabling for the next semester with the President

  • Prepare succession planning for the semester with the President and assisting in facilitating the overall process of interviewing and selecting new Officers

Requirements:

  • San Jose State University currently enrolled student

  • Experience as a previous SHRM@SJSU Vice President Officer is required

  • Active SHRM at SJSU Member

  • Strong leadership, teamwork, communication proficiency, project management, problem solving skills

  • Familiar with G-Suite

Vice President of Finance

  • Maintains SHRM at SJSU finances and budgets, ensuring timely and accurate budget analysis and financial review for officer team

  • Review, documents and issue all income, expenses and reimbursement of payment checks for approved expenses through a record-keeping system and provides receipts to individuals or organizations

  • Identify and implement at least two fundraising opportunities/events for the semester

  • Coordinates with Vice President of Membership to follow up with membership dues and makes payments and deposits into SHRM’s A.S. account at every two weeks

  • Coordinate with the President and other to determine monetary needs for the semester/year

  • Complete and submit A.S. Funding Request(s) with SJSU

  • Establish and manage relationships with sponsors as well as research additional grants of funds available to student groups other than A.S. & LCoB funding and deposit donations to the Tower Foundation

  • Assist in tracking and restocking inventory with the VP of Operations

Requirements:

  • San Jose State University currently enrolled student

  • Familiar with G-Suite— Sheets & Excel, Budgeting, Financial Statements



Vice President of Operations

  • Record meeting minutes during officer meetings and send officers a summary of the meeting

  • Create an attendance spreadsheet list for officer meetings and gather create membership rsvp sign-in sheet for events

  • Lead event set-up including the purchase and transportation of food, drinks, and other necessities.

  • Coordinate graduation ceremony stoles through a vendor and distribute to members for the semester

  • Document, track, and update inventory through a record-keeping system for the storage room

  • Preparing, ordering and authorizing member shirts and replenish supplies with VP of Finance

  • Assist the VP of Communications with updating the website, and events page www.shrmatsjsu.org bi-weekly

  • Assist VP of Careers for Company Tour RSVP and Carpooling

  • Provides all parking logistics for professional guests

  • Coordinates thank you letters and gifts to all professionals- company tours, networking events, and workshops

Requirements:

  • San Jose State University currently enrolled student

  • Active SHRM at SJSU Member

  • Familiar with G-Suite

Vice President of Membership

  • Organize rush recruitment table scheduling and coordinates officers

  • Responsible for recruiting new members and ensuring diversity

  • Design and update membership packages and applications

  • Collaborate with VP of Communications to create recruitment brochures, flyers and update the semester scrapbook

  • Maintain accurate and up to date records of past, current, and prospective member information

  • Promoting National Membership and benefits of SHRM

  • Follow up with students regarding incomplete application forms and membership dues as well as coordinate with the VP of Finance in processing and submitting membership dues

  • Check the SHRM Mailbox at least once a week during and after rush week

  • Update SHRM at SJSU mailing list every other day for the first two weeks of operation

  • Record member’s accrued points as part of the point system

  • Creating/updating semester book for tabling and farewell events with VP of Communications

  • Active SHRM at SJSU Member

  • Familiar with G-Suite, MailChimp


Vice President of Careers

  • Lead organizer for developmental workshops including but not limited to the Resume Blast and Mock Interview

  • Responsible for communicating new job, internship and scholarship opportunities from professors, companies, and professional organizations to members

  • Lead contact of arrangements for guests including speakers and HR professionals through email

  • Provide a confirmation email to all volunteering professionals/speakers with date, time, topic of event, directions to campus, and e-permit for parking with VP of Operations

  • Coordinate company tours for SHRM at SJSU members in order for members to have the opportunity to see what career opportunities exist and what a typical working day looks like

  • Develop relationships with professionals and companies in order to expose our members to a large group of professionals and organizations

  • Write brief descriptions of company tours for the monthly newsletter and send to VP of Communications

Requirements:

  • San Jose State University currently enrolled student

  • Active SHRM at SJSU Member

  • Familiar with G-Suite

Vice President of Communications

  • Act as the Public Relations coordinator of workshops, events and other information to members via flyers and social media

  • Create, print, and distribute flyers for all events at least 2 weeks prior to events

  • Manage HR classroom announcements for rush week and throughout the semester

  • Updates SHRM’s www.shrmatsjsu.org bi-weekly with VP of Operations

  • Post, update and main flyers in BBC classrooms and SHRM at SJSU display case in BBC

  • Create a monthly newsletter to share with members about past and upcoming events

  • Reach out to officers for short descriptions of events that they are in charge of for the newsletter and send to VP of Operations when completed to be posted on the SHRM at SJSU website

  • Serve as the photographer to capture SHRM at SJSU memories

  • Engage members frequently through social media with event reminders and relevant HR content

Requirements:

  • San Jose State University currently enrolled student

  • Active SHRM at SJSU Member

  • Familiar with Social Media- Facebook, LinkedIn, Instagram and, Photo Editing tools- Canva, G-Suite


Vice President of Events

  • Schedule at least two social events for members each semester and coordinate with other LCoB organizations to develop additional social opportunities

  • Collaborate with the VP of Communications to create and distribute flyers for all social events and schedule email reminders to send out to officers and members

  • Organize and schedule at least 2 volunteering events for members to participate in each semester

  • Plan social and professional events, involving casual networking mixers with other student organizations

  • Attend and assist organize the Business Olympics during Spring semester and represent the SHRM at SJSU organization at Business Olympics meetings

  • Write brief descriptions of volunteering events and socials for the monthly newsletter and send to VP of Communications

Requirements:

  • San Jose State University currently enrolled student

  • Active SHRM at SJSU Member

  • Familiar with G-Suite

Vice President of Mentorship

  • Act as liaison and coordinate the mentorship program with the National SHRM and NCHRA

  • Match mentors to their respective mentees based on shared interests and career goals

  • Host at least 1 in-person event for mentors and mentees to get together with VP of Events

  • Responsible for recruiting all qualified mentors and mentees to the program

  • Meet and communicate with mentors and mentees on a regular basis to make sure program objectives are met

  • Update and distribute mentorship application to members

  • Write brief descriptions of any Mentorship Program events for the monthly newsletter and send to VP of Communications

  • Networking enthusiast: creating a networking social event with professionals and members other than the mentorship program with the VP of Events

  • Assist with VP of Finance with one fundraising opportunity

Director of Affairs

  • Assisting the VP of Careers and VP of Events of developmental workshops, volunteering events and member socials

  • Identify potential collaboration events with LCoB’s clubs with the VP of Events

  • Creates a member feedback surveys at the middle and end of the semester

  • Assist with the Merit Workbook with the President and Executive Vice President

  • Acting as stand-in a Vice President position if a current Vice President is unable to serve

Requirements:

  • San Jose State University currently enrolled student

  • Active SHRM at SJSU Member

  • Familiar with G-Suite

Director of Involvement

  • Assisting the VP of Membership and VP of Communication with rush week: announcements, tabling, organizing other officers schedules, recruiting members, marketing and advertising SHRM at SJSU

  • Create and engaging membership involvement on social media as well as selecting member of the week/month in SHRM’s Monthly Newsletter with VP of Communications

  • Identify SJSU student involvement awards and guidelines

  • Assist with the Merit Workbook with the President and Executive Vice President

  • Acting as stand-in a Vice President position if a current Vice President is unable to serve
