Vice President of Membership

  • Coordinate virtual + in person member recruitment: brochure distribution, classroom presentations

  • Organize semester Kickoff event 

  • Collaborate with VP of Finance to set membership pricing (semester and annual)

  • Coordinate with the VP of Finance in processing membership dues and follow up with students regarding incomplete application forms and membership dues

  • Manage the Membership Database - maintain accurate data and up to date records of past, current, and prospective member information

  • Create RSVP forms for events, send Zoom links to registered members, and track member attendance at virtual events.

  • Record member’s accrued points as part of the member point system and come up with prizes for members who have the most points at the end of the semester 

  • Co-organize the semester Finale event with VP of Events

Requirements:

  • Familiar with G-Suite (i.e. Sheets, Forms, Slides), Zoom, email communication, Canva

Vice President of Events

  • Organize social events including semester Kickoff, Buddy Mixer, semester Finale & HR Gala

  • Create an inclusive and fun environment for members to thrive

  • Manage SHRMittee (social committee) including:

    • Lead weekly meetings

    • Coach event planning process

    • Organize SHRMittee-led social events

  • Community Service

    • Virtual or safely in-person community service/charity support opportunities

Vice President of Marketing

  • Post-event flyers on social media platforms (Instagram & LinkedIn & Discord) in a timely manner (week of events)

    • Posting recaps to social media for summaries + in case people missed out

  • First point of contact between those interacting with the social media platforms + relaying messages to members and officer board

  • Design promotional flyers in Canva for events, programs, projects, committee(s), and other matters that require graphic design

  • Maintain and update the website with up-to-date and relevant information, including the event calendar

  • Organize and execute social media campaigns specific to the semester (possibly changed for the spring): 

    • Buddy Program Reveal

    • Optional: Bingo Board with VP of Finance

    • Officer Q&A

Vice President of Communications

  • Write, edit, and distribute weekly and monthly newsletters using MailChimp and Canva to communicate SHRM news updates, spotlights, events, and other involvement opportunities

  • Brainstorm and plan social media initiatives and projects (mainly Instagram and LinkedIn) with VP of Marketing

Vice President of Careers

  • Network, recruit and provide logistics to professionals and alumni for professional development events through email and LinkedIn. 

  • Responsible for expanding SHRM at SJSU’s professional and alumni database

  • Organize and host developmental workshops including, but not limited to, the Resume Blast and Mock Interview

  • Collaborate with SHRM at SJSU officer team:

    • Coordinate with the VP of Operations on how to structure workshops and events

    • Coordinate with the VP of Marketing on the creation of event flyers

    • Coordinate with the VP of Membership on the RSVP forms for events

  • Manage the job opportunities database for members

    • Responsible for researching new jobs, internships, and scholarships opportunities and communicating those opportunities to members

  • Lead contact if professionals are needed as guests for events

  • Coordinate company info sessions for SHRM at SJSU members 

  • Develop and manage relationships with professionals, alumni, and companies in order to expose members to a diverse group of professionals and organizations

Vice President of Mentorship

  • Manage the Mentorship Program, including:

    • Creating the Mentorship Program Guide and program structure

    • Organizing the Mentorship Mixer and Mentorship Finale events

    • Recruiting professionals and alumni as mentors

    • Pairing mentors and mentees

  • Expanding SHRM at SJSU’s professional and alumni database

  • Supporting VP of Careers with their events and program activities, including recruiting professionals and run-throughs

VP of Finance

  • Manages SHRM at SJSU’s budget and financial transactions (expenditures, reimbursements) in Google Sheets

  • Coordinates with the President and other officers to determine monetary needs for the semester/year and approve expenditures

  • Collaborates with the VP of Membership to set membership pricing, collect membership dues, and confirm paid members

  • Have a working knowledge of Venmo to collect membership dues, then make payments and deposits into SHRM’s A.S. account every two weeks

  • Review, documents and issue all income, expenses and reimbursement of payment checks for approved expenses through a record-keeping system and provides receipts to individuals or organizations

  • Collaborates with the VP of Membership on Zoom event attendance

  • Organizes personal finance workshops (optional)

  • Manage SJSU Crowdfunding and fundraising events, as needed

  • Complete and submit A.S. Funding Request(s) with SJSU, as needed

  • Establish and manage relationships with sponsors as well as research additional grants of funds available to student groups other than A.S. & LCoB funding and deposit donations to the Tower Foundation as needed

Requirements:

  • San Jose State University currently enrolled student - Treasurers must be matriculated and enrolled at a CSU campus (at least 6 units if undergraduate student, 3 units if a graduate student) and maintain a minimum overall 2.0 GPA each term.

  • Active SHRM at SJSU Member

  • Familiar with G-Suite (i.e. Sheets), budget management, Venmo, Zoom

VP of Operations

  • Collaborate with Executive Board to: 

    • Manage Project Tracker

    • Manage shared Google Drive

  • Manage IT (Breakout Rooms) during Zoom events

    • Communicating with event host on attendees: professionals and members

    • Planning for what-if scenarios

    • Ensuring all attendees change their names to P (Professionals), M (Members), or O (Officers)

  • Take Meeting Minutes during officer meetings and send Action Items to officer team

  • Collaborate with VP of Finance to order SHRM merchandise and graduation stoles
